Packaging has several jobs at once. It must protect the product, move efficiently through the supply chain, communicate the right information, and create a coherent first impression.
A vague request such as “make it premium” leaves too many decisions unresolved. A useful packaging brief gives designers and manufacturers enough context to solve the right problem while keeping cost, production, and shipping constraints visible.
1. Describe the product and its vulnerabilities
Start with accurate product information: dimensions, weight, materials, finish, loose components, and configuration at the time of packing.
Then identify what can go wrong. Is the product sensitive to impact, abrasion, pressure, moisture, dust, light, temperature, or movement? Are there surfaces that must not touch? Does the item need to remain upright?
The protection concept should respond to real risks rather than simply adding more material.
2. Map the complete journey
Packaging designed only for the retail shelf may fail before it reaches the customer. Explain how the product will move from packing line to final use:
- Individual or multi-unit packing
- Inner and master cartons
- Palletisation or parcel delivery
- Air, sea, land, or combined transport
- Warehouse storage and picking
- Retail display or direct-to-consumer fulfilment
- Returns, service, or reuse where relevant
Handling conditions influence structure, closures, cushioning, carton strength, and the information printed on each layer.
3. Define the customer experience
Describe where the customer first sees the packaging and what should happen next. A retail pack must communicate quickly from a shelf. An e-commerce pack may need to create confidence after delivery and guide the user through setup.
Specify the desired sequence: opening, product reveal, removal, assembly, documentation, accessory discovery, and disposal. Avoid adding layers that look impressive in a rendering but frustrate the person opening them.
4. Provide a clear brand system
Share current logo files, colour references, typography, imagery, tone of voice, and examples of existing materials. State which elements are fixed and where the designer has room to explore.
The brief should also define the message hierarchy. What must a customer understand first? Which product name, benefit, variant, or proof point deserves the most attention?
Brand consistency does not mean placing every available message on the box. Clear packaging usually reflects clear priorities.
5. List mandatory content
Create a controlled checklist for every required element. Depending on the product and destination, this may include:
- Product name, model, colour, and size
- Contents and quantity
- Instructions and warnings
- Barcodes or other identifiers
- Country-of-origin information
- Manufacturer, importer, or contact details
- Recycling and material marks
- Batch, date, or traceability fields
- Required languages
Confirm applicable requirements with qualified specialists for the product and market. The designer should not be expected to decide compliance content from appearance alone.
6. Set structural and material constraints
Define preferred packaging format, target materials, finish, opening method, security needs, and any sustainability priorities. Include maximum dimensions or weight where storage, freight, or fulfilment creates a hard limit.
Ask the manufacturer to explain material grades, flute or board selection, inserts, printing methods, coatings, and finishing operations. A visual mock-up cannot show every production or durability trade-off.
7. Make cost assumptions visible
Provide expected order quantities and a target cost range. Packaging unit cost depends on structure, material, print coverage, finishing, tooling, assembly, and volume.
Separate one-time items such as dies, plates, samples, and structural development from recurring unit costs. Request alternatives when a premium finish or complex insert has a large effect on cost or lead time.
8. Plan prototypes and testing
Use prototypes to answer different questions:
- A plain structural sample tests fit and opening
- A printed sample tests artwork, colour, and hierarchy
- A packed sample tests protection and presentation
- A production sample confirms the intended manufacturing method
Define the tests that matter for the journey. This may include fit checks, repeated opening, stacking, vibration, impact, compression, abrasion, or exposure conditions appropriate to the product.
Record the packed configuration and approved result so production does not rely on memory.
9. Control artwork and versions
Name the people responsible for copy, translation, regulatory review, design approval, and production release. Use one source of truth for artwork and mark superseded files clearly.
Before approval, check text, codes, dimensions, dielines, image quality, colour references, finishes, and the relationship between artwork panels. A physical proof can reveal scale and placement issues that are easy to miss on screen.
A practical brief structure
A complete packaging brief can stay concise if it covers the essentials:
- Product and vulnerability profile
- Supply-chain and customer journey
- Brand and message hierarchy
- Mandatory content and markets
- Structural, material, and sustainability priorities
- Quantity, cost, and timeline
- Prototype, testing, and approval process
- Final files and version ownership
Good packaging is not decoration around a finished product. It is part of the product system and the supply chain that delivers it.
When the brief connects protection, brand, cost, and operations, design decisions become easier to evaluate and manufacturing starts from a much stronger baseline.
